Summary Provides a full-range of benefits and customer support in the administration and communication of all company sponsored health and welfare benefit plans, Leave and disability programs, savings, retirement and post retirement benefits.
Essential Duties and Responsibilities include all or in part the following. Other duties may be assigned.
Health and Welfare Benefits:
Responds in an accurate, thorough and customer friendly manner both verbally, and in writing, to associate inquiries regarding all health and welfare benefit issues. Acts as a liaison between associate and insurance carrier/third party vendors.
Ensures that calls are answered on a timely basis and documented appropriately in the Service Desk Express (SDE) call database. Provides appropriate follow up as indicated in the database to ensure successful closure of inquiry and customer satisfaction.
Prepares and/or verifies calculation of monthly premium statements for all benefit plans with attention to accuracy for cost containment purposes. Provide follow up with insurance carriers and/or vendors on any discrepancies of billing issues to ensure terminated associates have been cancelled from coverage. Maintains spreadsheet of bills paid and medical/dental headcount.
Effectively manage the COBRA notification, COBRA enrollment and COBRA termination processes in accordance with HIPAA and COBRA guidelines. Prepare and document that all COBRA notices are sent on a timely basis. Monitors the receipt and posting of COBRA premium payments for timeliness and accuracy of payments in compliance with COBRA guidelines. Ensure timely updates of eligibility with third party vendors. Coordinate the annual COBRA notification process. Coordinate all system upgrades with IS and test thoroughly.
Monitors vendor interface process. As required, prepares and sends interfaces to vendor. Audits all reports and researches kick outs and updates all systems.
Processes weekly FSA wires and audits and reconciles monthly reports to ensure accuracy of participation. Identifies all terminations and provides an ongoing forfeiture update.
In accordance with policies, reviews and determines eligible amount of tuition reimbursement for all full time and part time requests. Updates and maintains tuition reimbursement database.
Coordinates the receipt and distribution of iLead nominations and awards and the monthly Service Award notification and distribution process.
Orders department supplies and manages supply inventory within budget guidelines.
Leave and Disability Benefits:
Manages all activities relating to the leave of absence process including: educating associates and managers on the application process and the provisions regarding each leave type, makes approval determination on each leave request, notifies requestor of the approval status and the leave provisions regarding benefit coverage and premiums due, length of leave and ongoing notification of leave eligibility. Tracks and provides necessary follow through of premium payments of those on LOA which includes notifying associates of missed premiums and possible termination of coverage. Coordinates with third party to remove delinquent associates from coverage on a timely basis. Maintains low activity reporting.
Coordinates disability and salary continuation process for all eligible associates, which includes providing information to associates on the process for filing and working with third party to provide any additional data and job descriptions required to make initial determination. Works directly with managers and third party to return eligible associates to work. Monitors claims status with disability administrator to ensure timely approval determination and appropriate payments are made. Responsible for executing salary continuation and the timely cessation of such payments and notification of appropriate journal entries to payroll.
Coordinates the death benefit processes. Obtain beneficiary information, notifies beneficiary of benefits available and sends appropriate paperwork for completion. Forwards completed paperwork to insurance company and follows up with third party until payment is made to beneficiary. Maintains spreadsheet of death benefits paid.
Savings, Retirement, and Post-Retirement Benefits:
Prepares and audits annual 401(k), ARC, and pension census information and determines plan eligibility, contributions or benefits. Updates GEAC twice a year with ARC eligibility data. Each year, updates GEAC to reflect total points and last ARC contribution date. Reviews and approves the annual ARC contribution and the annual 401(k) true-up contribution. Maintains Transition Benefit Eligibility and updates management monthly.
Ensures that all new DOE’s are evaluated for inclusion or exclusion in the definition of plan compensation for both W-2 and 415 earnings. Works closely with third party administrator to respond to any data inquiries, corrects all inconsistent data items and ensures the on-going integrity of the data for annual discrimination testing processes.
Provides policy and plan interpretation and counsels’ participants and beneficiaries of deceased associates on the retirement process and the options available.
Calculates all retirement estimates, projections and retirement calculations in accordance with plan documents. Provides appropriate notifications to participants in compliance with IRS and DOL regulations regarding timely notification. Works closely with Plan trustee or record keeper to set up payments and maintain accurate participant data. Ensures accurate processing of qualified domestic relations orders.
Works closely with Payroll with regard to deduction set up and maintenance, contribution funding and other issues surrounding the administration of each of these plans. Ensures that no highly compensated associate contributes more than allowed for each plan year. Resolves with Payroll any issues regarding 401(k) loans and contributions.
Assists internal and external auditors with the annual plan audits.
Assists in all educational meetings for corporate and field associates including material preparation, scheduling and training. Coordinates ongoing financial and retirement planning seminars for field associates.
Maintains comprehensive plan documentation. Develops and maintains savings and retirement plan department procedure documentation to ensure up to date documentation.
Oversees the administration and maintenance of the DB Calc system and other related databases and worksheets. Tests and installs all system upgrades.
Coordinates all activities associated with Bi-annual Retiree luncheon.

Education/Experience:
High School degree required; progressive benefits experience preferred and at least 2 years of related education and/or training and experience required.

Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems and reporting department and function - related activity on a regular basis.
